What is Document Management?

Store controlled documents in folders, set owners and review dates, keep versions, collect sign-offs, and link documents to projects.

Document Management is where you keep your controlled documents, such as SOPs, work instructions, manuals and forms, in one place.

Add documents

  1. Click Document Management on your home page (or open it from the module menu). The Documents page opens.

  2. Click Add and create folders, for example one per line or workstation.

  3. Drag and drop files into a folder, or add links to Lean Creator templates.

The Documents page

The Documents page has:

  • All, Bookmarks and Archive tabs (also in the left menu)

  • a Search documents box, Filters, a column picker and a refresh button

  • a list of folders and files with the columns Name, Version, Date modified and Format

Control each document

  • Owner: the person responsible for keeping it up to date.

  • Review or expiry date: the owner gets reminders when a review is due.

  • Versions: when you upload a new version, the previous ones are kept in the history and users see the latest one.

  • Access: control who can see or edit documents by role.

Sign-off

Assign a document to people or a role for read-and-sign. People have to open the document before they can sign it, which gives you an audit trail for each employee.

Use documents in problem solving

Link documents to a Kaizen project. The Kaizen RCA Agent can use them, for example a machine manual, when suggesting root causes.
