Schedule a template built in Lean Creator so it shows up in people's Daily Standard Work and repeats as often as you need.
Note: Only published templates can be assigned.
Open the assignment
1. Go to Lean Creator and find your published template.
2. Click the ⋮ menu on the template and choose Assign.
Tip: When you publish a template with Save & Publish, you're also prompted to assign it right away.
Name the assignment
3. Enter a name people will recognize on their calendar, for example "Daily Check – Line 1" or "Building 1 5S Weekly".
Choose who it's for
4. Choose whether to assign the template to users, a role or an asset.
Assign to | How it works | Use it for |
User | Each selected person gets their own item and must complete it | Audits where you need to know exactly who did or missed them |
Role | Everyone in the role sees the item. It's marked complete for everyone as soon as one member completes it. If every person must complete it, assign individual users. | Tasks that any one person in a group can do |
Asset | Pick Department → Line → Workstation → Asset. The history stays with the asset. | Machine checks, CILR and autonomous maintenance |
Important: Assets must be set up in Admin Settings → Asset Management first. See Set up departments, lines, workstations and assets
Set the frequency
5. Set how often it repeats. It works like a recurring meeting:
Repeat every day, every week on a chosen day, every few weeks, or monthly.
Choose an end date or Never.
For a one-time task, such as a read-and-sign, set a single occurrence.
Add an estimated duration if you want it to show on the calendar.
6. Click Submit.
What happens next
The item appears on each assignee's Schedule Calendar and Overview in Daily Standard Work.
They get an email reminder 30 minutes before it's due.
Missed items show in red as Overdue.
Schedule Calendar
The Schedule Calendar (the Scheduler page) shows scheduled items by Month, Week or Day.
Filter by All, Huddles, Standard Work or Overdue, and switch between My Activities, My Team's Activities, Facility Activities and Asset Activities.
You can also create a schedule here with + New Schedule.
Tips
Rotating auditors: create one schedule per area with its own people, for example "Area 1 5S" and "Area 2 5S".
To change who it's assigned to, use ⋮ → Assign again.
Managers with the right permission can see everyone's items using the Facility Activities tab.
