Publish and assign a template for sign-off

Publish an SOP, OPL or checklist, assign it to people, roles or assets, and track who has completed or signed it.

Publish your SOP, OPL or checklist and assign it so the right people complete or sign it, then track who has signed.

Add a sign-off (optional)

1. For read-and-acknowledge documents, add an acknowledgement or signature question at the end. You can also add a few comprehension questions.

2. Click Save & Publish. You'll be prompted to assign the template.

Note: You can also assign it later from the template's ⋮ menu → Assign.

3. Give the assignment a title, for example "Line 1 Changeover SOP sign-off".

4. Choose who it's for:

  • User: each selected person must complete it.

  • Role: everyone in the role sees the item.

  • Asset: for machine or area checks. The history stays with the asset.

Important: A role assignment is marked complete for everyone as soon as one member completes it. If every person must sign, assign individual users.

5. Set the frequency. For a one-time read-and-sign, choose a single occurrence. For recurring checks, set the repeat and an end date.

6. Click Submit.

What the user sees

  1. The item appears on their Dashboard under Assigned to me or Upcoming, and on their Daily Standard Work calendar.

  2. They click Start to open it. The document must be opened before it can be signed.

  3. They read it, answer any questions, and click Submit. The Submit button is at the top of the screen.

Tracking completion

  • Daily Standard Work → Submitted shows each submission with start and end time. Click View Report to see the answers.

  • For training sign-offs, the Skills Matrix team view and each user's Training Tracker show who has signed.

  • Overdue items show in red.

Tip: For instructor-led sign-offs, let the instructor answer any pass/fail question rather than the trainee.
