What is an EWO?

Learn how Emergency Work Orders record breakdowns, downtime, repairs, root cause and MTTR, and how to set them up.

An EWO (Emergency Work Order) records a breakdown or urgent safety or quality problem. EWOs have their own reports for downtime and MTTR.

An EWO captures:

  • what happened

  • how long the equipment was down

  • how it was repaired

  • the root cause

Open the EWO module

Click EWO on your home page. The left menu has EWO Dashboard, Reports, EWO Settings and Approval Dashboard.

EWO, Tag or Kaizen?

  • Tag: an abnormality spotted on the floor that needs fixing.

  • EWO: a breakdown or emergency, with downtime, repair and root-cause details.

  • Kaizen: an improvement project. You can start a Kaizen from an EWO.

Set up EWO

Who can do this: admins with access to Kaizen Settings.

  1. Go to gear icon → Kaizen Settings → Add Project Type, choose module EWO, and name it, for example "Downtime Report".

  2. Add a methodology with one phase, for example "Basic Info".

  3. Click Add template on that phase and choose the sections to show, for example Problem Description, Description of Repair, Root Cause Analysis, Action Plan and MTTR.

  4. Click Save and apply.

  5. Create a workflow for the EWO module, for example Open Work Order → Pending RCA → Done. See Build a workflow for Kaizen, EWO or Tags.

  6. In EWO Settings, maintain your breakdown types, for example mechanical, electrical or lubrication. Click Create New to add a type.

The Breakdown Type page lists each type with its Name and Created By, with edit (pencil) and delete (bin) icons under Action. Switch between Table and List views.

Create an EWO

  1. Go to EWO → Create new.

  2. Enter a title, project type, methodology, assignee and line or workstation.

  3. Enter the breakdown start and end time. Downtime is calculated automatically.

  4. Choose the breakdown type.

  5. Select Create.

Note: admins can use Show fields to hide fields your technicians don't need.

Fill in the details

Click a row for the quick view, or the arrow next to the ID for the full view.

The details panel shows the EWO's ID and status, and fields such as Project Type, Methodology, Workflow, Project Phase, Saving Status, Breakdown Type, Shift, Assignee, Facility, Labels, Focused or Systematic, and Score.

Fill in the sections your EWO template shows:

  • Description of Repair: whether parts were replaced or adjusted, and which parts.

  • Root Cause Analysis: choose a category and sub-category, for example insufficient strength, increased stress or natural deterioration. These feed the Pareto reports.

  • Failure Curve Analysis: the type of failure, for example early-life, random or wear-out.

  • 5W1H and 5 Whys: describe the phenomenon and dig into causes.

  • Action Plan: corrective actions with owners and due dates.

  • MTTR: initial wait, diagnosis, parts retrieval and repair time.

Link a related Kaizen, or start one, from the EWO.

Reports

Open Reports in the left menu. The EWO Report page has three tabs, Overview, Time Series and MTTR, and a Filters button to narrow the data.

Reports cover:

  • MTTR broken down by wait, diagnosis and repair time

  • open vs closed EWOs

  • EWOs by pillar

  • lost time by breakdown type

  • root-cause overview

EWO Dashboard

On the EWO list, use the column picker, filters and saved views to build views such as "Open Work Orders".

The EWO Dashboard table shows these columns by default: ID, Title, Lead Pillar, Slippage ($), Days to close, Days Delayed, State, Facility and Action.

Switch between Table, List and Gantt views at the top right, and click Export EWO to export the list.

Approval Dashboard

The EWO Approval Dashboard lists EWOs with pending due date change requests. It opens with the Open filter applied.

It has Search by Id and title, Filters, Group By, column settings, refresh, Table and List views, and an Excel export icon.
