Use this checklist when setting up LeanSuite for a new site. Your LeanSuite onboarding team can load large lists for you (users, assets, skills and existing projects) from Excel.
Who can do this: Site admins setting up LeanSuite for a new facility.
1. Access and security
☐ If you use SSO, set it up with your IT team before adding users (see Set up Single Sign-On (SSO) with Microsoft Entra ID).
☐ Confirm which modules are enabled for your account. Locked modules need to be enabled by LeanSuite.
2. Your site structure
☐ Add departments, lines, workstations and assets in Admin Settings → Asset Management (see Set up departments, lines, workstations and assets).
☐ Generate location QR codes if you'll use them for tags.
☐ Rename field labels to match your site's terms if needed.
3. Roles and users
☐ Create roles for the jobs that need extra permissions, for example CI Engineer, Supervisor or Kaizen Approver.
☐ Add users one at a time, or in bulk with the upload template (see Bulk upload users).
☐ Assign roles, and remind people to log out and back in after role changes.
4. Module settings
☐ Suggestions: fields, approvers, points and prize catalog.
☐ Tags: tag types, priorities, default assignees and escalation tiers.
☐ Kaizen and EWO: project types, methodologies, phase templates and workflows.
☐ Skill Matrix: skill list, teams and required skills.
☐ KPI: your key indicators and their data sources.
5. First content
☐ Build or copy your first checklists and audits in Lean Creator. Start from the Marketplace or with Create with AI.
☐ Schedule them in Daily Standard Work.
☐ Build your first Lean Studio board for daily huddles.
6. Roll out
☐ Start with a pilot area.
☐ Train a core team who can then train others.
☐ Share Get started with LeanSuite as a frontline user with your teams.
