Advance a Kaizen to the next phase or change its status

Move a Kaizen to its next phase or status with Advance To, and fix what's blocking a transition.

Written by Angad Singh

Use the Advance To button to move a Kaizen to its next phase or change its status. The options you see depend on the Kaizen's workflow.

Note: you can advance a Kaizen to the next stage only from the Kaizen detail view.

Steps

1. Open the Kaizen in the detail view. See Open a Kaizen after creating it.

2. Click the Advance To button in the top-right corner to open the drop-down options.

3. Select the stage or status you want from the drop-down options.

Note: the options in the drop-down menu depend on the workflow attached to the Kaizen. The workflow's rules and transitions decide which options appear under Advance To. See View the workflow attached to a Kaizen.

Troubleshooting: you can't advance a Kaizen

Workflow rules control each transition:

  • Who can move the Kaizen: for example the submitter, an assignee or member, named users, or a role. Check with your admin that you are allowed to make the transition.

  • When it can move: validations such as the due date being filled, a KPI being filled, or hard savings greater than 0. Complete the required information and try again.

  • What happens when it moves: for example, a field such as the saving status is updated, and notifications are sent.

Some statuses lock the record, so the Kaizen can't be edited while it is in that status.

Related features

  • Due dates are set automatically from the methodology's total days or days by phase. If a Kaizen runs late, an email is sent and the Kaizen is flagged on the dashboard, which shows the number of days delayed and the Revised Due Date. See Edit the due date of a Kaizen.

  • The Kaizen dashboard's Gantt view shows each Kaizen's schedule. See Use the Kaizen Dashboard.

  • The Kaizen's History tab in the Activity field shows the changes made to it. See About the Kaizen activity field.
