Changing a Kaizen's due date affects resources, so you must give a reason for the change. The request is then reviewed by the responsible person, who approves it before the due date changes.
When you change the due date, a separate window opens to collect this information. Editing the due date is part of editing a Kaizen's properties information. See Edit information in a Kaizen.
Open the due date request
1. Open the Kaizen in either the side window or the detail view.
2. Scroll down to the Due Date field.
3. Click the pencil icon on the right.
The Request For Update Due Date window opens.
The window has 4 main fields:
Current Due Date: the Kaizen's current due date.
Revised Due Date: the new date you want.
Reason For Revised Due Date: a drop-down menu of reasons. Every change needs a reason.
Comment: optional extra information about the reason for the change.
Note: admins define the list of reasons in Kaizen Settings. See Add a revised due date reason and Edit a revised due date reason.
Fill in the request
4. Click the calendar icon on the right of the Revised Due Date field.
5. Select the new date in the calendar.
6. Click the drop-down arrow in Reason For Revised Due Date and choose a reason.
Tip: click the cross icon to clear the reason and choose another.
Note: the comment is optional, but you must choose a new date and a reason before the Save button becomes active.
7. Optionally, type a comment in the box. The built-in text editor lets you format anything from a short comment to a detailed explanation.
8. Click Save to submit the request.
Result
After you submit a due date change request, the Kaizen is added to the approval dashboard with the other Kaizens waiting for approval. Approvers receive email and in-app notifications about the request.
Due date, Revised Due Date and delays on the dashboard
The Kaizen dashboard shows the Revised Due Date column (previously labeled Due Date), so you always see the current agreed date.
A column shows how many times a Kaizen's due date has been changed.
Delay tracking shows the number of days delayed compared with the original due date.
The Gantt (timeline) view shows each Kaizen's schedule.
You can export delay management data to Excel. Due date extension exports include the Revised Due Date Reason and Kaizen Project ID.
