Assign a template by creating a schedule. A schedule says which template must be completed, by whom (a user, a role or an asset), and how often.
Open the Create Schedule window
1. In the Daily Standard Work menu, go to the Schedule Dashboard.
2. Click the Assign button in the top right corner of the Schedule Dashboard. The Create Schedule window opens.
The window has two parts, Basic Details and Frequency.
The fields you see depend on your selections.
Schedule fields
Field | Description |
Basic Details | What is assigned and to whom. |
Title | A name for the assignment, for example "Daily Check – Line 1" or "Building 1 5S Weekly". |
Select Template | The published Lean Creator template to be completed. |
Assign By | Who the template is assigned to: User, Role or Asset. |
User | The users who must complete the template. Each selected user must complete it. |
Role | The role the template is assigned to. The item is marked complete for everyone in the role as soon as one member completes it. To make each person accountable, assign individual users instead. |
Asset (Assign By option) | Assigns the template to a piece of equipment rather than a person. The history is kept on the asset. Use this for CILR (Clean, Inspect, Lubricate, Retighten) and machine checks. |
Department | The department (area) where the asset is located. |
Line | The line within the department. |
Workstation | The workstation within the line. |
Asset | The asset the template is assigned to. The asset list must already exist in Admin settings. |
Frequency | When and how often the template is due. |
Start Date | The date of the first occurrence. |
End Date | The date of the last occurrence, or Never. |
Time zone | The time zone used for due times and reminders. |
Repeat | How often it recurs, like a recurring meeting: for example daily, weekly on a chosen day, every N weeks, or monthly on the first Sunday. You can also add an estimated duration. |
Templates are built in Lean Creator. You can create a new template, choose an existing one, or clone one from the Marketplace.
Create the schedule
3. Complete the Basic Details. You must do this before you can move on to Frequency.
4. Complete the Frequency section.
5. Click Submit in the top right corner to create the schedule.
Result
The item appears in the assignee's My Activities on the Overview dashboard and on their Calendar.
An email reminder is sent 30 minutes before it is due, and overdue items are shown in red.
Other ways to assign
From Lean Creator: open a published template, click the ⋮ menu, then Assign.
After you save or publish a template in Lean Creator, you are prompted to schedule it straight away.
Good to know
For a one-time task, such as a read-and-sign, set the frequency to a single occurrence.
For rotating auditors, create one schedule per area.
To reassign, use ⋮ → Assign again.
